Add and manage employees

Employee records connect people to invitations, company structure, assignments, and acknowledgements.

Before you begin

Add an employee to the company before assigning documents to them. Use the email address the employee will use for their account. A correct email, department, and location help invitations, assignments, and reporting reach the right person.

When this guide helps

  • A new employee needs access
  • An employee has not completed sign-up

Follow these steps

  1. Open Employees and choose Add Employee.
  2. Enter the employee details and select the correct department and location.
  3. Review the Status column to understand the employee's current access state.
  4. Use Resend Invitation when another sign-up invitation is needed.

Check the result and follow up

Ask the employee to open the invitation and follow the account setup steps. They should use the invited email address. A new user may need to create a password or complete email verification; an existing account may be asked to sign in.

Check account status after the employee finishes setup. If the invitation was lost, use Resend Invitation on the existing record. Avoid adding the same person again with a different email just to work around an access issue.

When the employee is ready, assign the appropriate published documents and set due dates. A document-assignment notification is a separate message from the invitation: it tells the employee that there is something to review, rather than asking them to create another account.

If access still fails, confirm the invited email and the account status before contacting Support. Never include a password or verification code in a support request.
