Create an assignment

The assignment wizard guides you from a published document to a reviewed recipient list and due date.

Before you begin

Use this workflow when a published policy, SOP, handbook, or other document needs to reach a specific group of employees. Before you begin, confirm that the document content is ready, that the intended version is published, and that the employee records use the right departments and locations.

Follow these steps

  1. Open Assignments and choose Add Assignment.
  2. Select the document type, category, and published document.
  3. Choose the audience filters and review the matched recipients.
  4. Select the intended recipients, set the due date, and confirm the assignment.

Check the result and follow up

Before confirming, check the document title, version, recipient count, and due date. A filter changes the list of people you are reviewing; it is still important to select the intended recipients.

After creating the assignment, open Current Assignments and confirm that the expected document and recipients appear. Use status filters to follow pending and overdue work. Resend a notification when an employee needs the link again.

If the document is missing from the assignment wizard, check its publication status first. If the audience is wrong, review the employee records and clear any filters that are excluding people. Avoid creating a second assignment just to replace an email notification.
