Cancellation Policy

This Cancellation Policy explains how customers may cancel AcknowledgePoint subscriptions and what happens after cancellation.

1. RIGHT TO CANCEL

Customer may cancel a paid subscription according to this Cancellation Policy, the Terms of Service, and any applicable order form or written agreement.

2. HOW TO CANCEL

Customer may cancel by using one of the following methods if available:

  • in-account cancellation through the billing or account settings page;
  • submitting a cancellation request through the support portal;
  • emailing [[email protected]];
  • emailing [[email protected]]; or
  • using another cancellation method AcknowledgePoint makes available.

AcknowledgePoint should provide a cancellation method that is reasonably easy to use and does not require unnecessary steps.

3. AUTHORIZED CANCELLATION REQUESTS

AcknowledgePoint may require that cancellation requests come from:

  • the account owner;
  • a billing contact;
  • a super administrator;
  • an authorized company representative; or
  • another person AcknowledgePoint reasonably verifies as authorized.

AcknowledgePoint may request verification to prevent unauthorized cancellation.

4. EFFECTIVE DATE OF CANCELLATION

Unless otherwise stated, cancellation takes effect at the end of the current paid billing period. Customer will continue to have access until the end of the paid period unless the account is suspended, on hold, or terminated for cause.

Example: If Customer is billed on July 15 for July 15 through August 14 and cancels on July 25, the subscription will normally remain active until August 14 and will not renew on August 15.

5. NO PARTIAL MONTH REFUNDS

Except as required by law or expressly agreed in writing, AcknowledgePoint does not provide prorated refunds or credits for partial billing periods.

6. CANCELLATION OF FREE PLAN

Customer may stop using a Foundation Plan at any time. AcknowledgePoint may provide an account deletion or closure process. Inactive Foundation Plan accounts may be archived or deleted according to AcknowledgePoint’s retention policies.

7. CANCELLATION DURING TRIAL

If Customer cancels during a free trial, Customer may lose access at the end of the trial or immediately, depending on trial terms.

If payment information is required for a trial, AcknowledgePoint should clearly disclose when paid billing begins and how to cancel before being charged.

8. ANNUAL SUBSCRIPTIONS

For annual subscriptions, cancellation may stop the next annual renewal but does not necessarily entitle Customer to a refund for the remainder of the current annual term unless required by law or stated in a written agreement.

9. OUTSTANDING BALANCES

Cancellation does not relieve Customer of responsibility for amounts incurred before cancellation. Any unpaid invoices, add-ons, overages, taxes, or fees remain due.

10. DATA EXPORT BEFORE CANCELLATION

Customer is responsible for exporting needed documents, acknowledgement records, reports, and account data before cancellation takes effect.

AcknowledgePoint may provide a limited post-cancellation data access period at its discretion or as stated in a written agreement.

11. DATA RETENTION AFTER CANCELLATION

After cancellation, AcknowledgePoint may retain Customer Data for a limited period for backup, legal compliance, audit, dispute resolution, account reactivation, or contractual obligations. After the applicable retention period, data may be deleted, archived, or de-identified according to AcknowledgePoint’s policies and applicable agreements.

12. ACCOUNT REACTIVATION

AcknowledgePoint may allow reactivation of a canceled account if data remains available and all outstanding balances are paid. Reactivation may require selecting a current plan and accepting current terms.

13. TERMINATION FOR CAUSE

AcknowledgePoint may terminate or suspend Customer’s account for violation of the Terms of Service, non-payment, security risk, misuse, violation of law, or violation of the Acceptable Use Policy.
